As a user, I want to change folder icons in Passbolt, so that I can visually distinguish my folders more easily

Q1. What is the problem that you are trying to solve?
Currently, Passbolt does not allow users to assign custom icons to folders. All folders look the same, making it difficult to quickly identify and navigate between different categories of credentials, especially in environments where users manage a large number of entries. Introducing the ability to customize folder icons would improve visual organization and efficiency.

Q2 - Who is impacted?
This feature would benefit all Passbolt users, especially teams and organizations that manage multiple folders for different projects, clients, or departments. Users with large credential libraries would see a significant improvement in usability and navigation speed.

Q3 - Why is it important and/or urgent?

  • Enhancing the user experience by making folder management more intuitive and visually appealing.
  • Aligning with potential future UI improvements, such as the ability to add favicons to entries (if planned for a future release).
  • Helping users save time when searching for credentials within their folder structures.

Q4 - What is your proposed solution? (optional)
The solution would be to allow users to set a custom icon for each folder through the folder settings.

User Story:
  • As a user, I want to assign custom icons to my folders, so that I can quickly differentiate them based on their content.
Test Scenario (Given, When, Then):
  • Given I am logged into Passbolt and I have a folder
  • When I access the folder settings
  • Then I should have the option to assign an icon (from a predefined set or an uploaded image)
Additional Functional Requirements:
  • The ability to select an icon from a predefined set or upload a custom image (e.g., PNG, SVG).
  • Icons should be displayed consistently across the interface (e.g., folder list, sidebar, and breadcrumb navigation).
  • Icons should be stored securely and should not impact performance.
Future Consideration:

If future versions of Passbolt (e.g., v5) introduce favicons for entries, this feature could be extended to maintain visual consistency across the application.

Q5. Community support
People can vote for this idea to show traction:

  • :ok_woman: Must have: this is critical for me to have this
  • :raising_hand_woman: Should have: this is important for me to have this
  • :tipping_hand_woman: Could have: this could be nice to have
  • :no_good_woman: Won’t have: we should not schedule this (explain why)
